Switchboard Operator - 10.00am - 2.00pm

The Team
Facilities are responsible for the smooth running of various day to day activities including switchboard, the conference suite, catering, post, archives, document services, office moves, security, health & safety and many other support functions

Responsible to
The Reception Manager, who is responsible for the management of the switchboard and conference suite.

Main Purpose of the Job
To respond to both external and internal telephone calls quickly, efficiently and professionally. To provide effective administrative support, as required, to the Facilities team.

Key Tasks and Duties
  • To maintain cover of the switchboard between the hours of 10.00 and 14.00
  • To answer all calls promptly and in a professional manner
  • To keep the switchboard index up-to-date
  • To process travel and courier bookings
  • To assist with Business Development mailings
  • To cover Reception as required
  • To assist other members of the Facilities team, as appropriate, and to undertake other administrative duties as may be required
  • To take responsibility for Health & Safety at work of yourself and others

    Knowledge, Skills and Experience
  • Experience of working on a busy switchboard in a professional environment
  • Excellent client care skills with the ability to deal with clients and employees on the telephone and face to face
  • Ability to work and deliver a service encompassing the firm's core brand values
  • Excellent communication skills with a confident manner being polite and friendly at all times
  • Ability to maintain confidentiality at all time
  • IT skills with knowledge of Outlook, Word and Excel
  • To be familiar and knowledgeable about the business and people of the firm
  • To demonstrate a continuing desire to acquire knowledge, skills and attitudes required to support a firm offering professional services
